Brinco - BEAST Application

Brinco Mechanical Management Services, Inc. (“Brinco,” “we,” “us” or “our”) provides Brinco - BEAST Application (the “BEAST Application”), a mobile application for authorized users of the BRINCO service. This Privacy Policy explains how the BEAST Application handles personal information when it is used for an organization’s work.

1. Roles and contact

Your organization determines which users receive access to the BEAST Application, what work information is made available to them and how long its business records are retained. Brinco operates the BEAST Application and related services for those authorized users.

2. Information processed by the BEAST Application

The BEAST Application processes the following information to provide work-management functions:

• Account and device information: username, client code, password submitted at sign-in, device identifier, authentication token and account settings. The app stores the username, client code and authentication token on the device.
• Work information: work orders, asset details, parts, notes, contacts, service records, completion information, time-sheet entries, electronic signatures and other operational records made available through the service.
• Photos and documents: photos and files that you capture, select, view or attach to work records, together with the information contained in them and associated file, time, user, reference and comment metadata.
• Precise location: device latitude and longitude when you open the GPS diagnostic screen; open a check-in screen for a work order configured for GPS enforcement; dispatch, check in or check out; or submit completion information. Coordinates may be attached to work records. For GPS-enforced work orders, the app compares the device-reported coordinates with the configured work-site coordinates and can prevent check-in or check-out outside the configured radius. The app does not continuously track your location.
• Offline data: account information and cached or queued work information stored in the app’s local database so that work can continue offline.
• Diagnostic reports: when a JavaScript, network-request or local-database error occurs, the app automatically sends a report containing the page URL; error, stack-trace or SQL details; failed request and response details or database parameters; and the current session object, including username, client code and authentication token. A report can also contain credentials, work information, location, photos, documents or signatures present in the failed operation.

The mobile configuration declares microphone permission. The BEAST Application does not record or upload audio.

3. How information is used

Brinco and your organization use the information described above to:

• authenticate authorized users and manage access;
• display, create, update and synchronize work and asset records;
• capture, store and attach photos and documents to work records;
• record work completion, electronic signatures, time sheets and location-based check-in or check-out information;
• provide offline working and synchronization;
• investigate errors, maintain security and provide technical support; and
• comply with legal obligations and respond to valid legal requests.

The BEAST Application does not use information from the app to serve advertising.

4. How information is disclosed

Information is disclosed, where necessary for the purposes in this Policy, to:

• your organization and its authorized BRINCO users and administrators;
• Brinco and service providers that operate the BRINCO backend, document and diagnostic services;
• Google, when the app loads Google Maps, displays a work-site map or opens an Android PDF through Google Docs Viewer. Google Maps receives the work-site address used to display the map. Google Docs Viewer receives the document-download URL, including the document identifier and client code, in order to retrieve and display the PDF; and
• law-enforcement authorities, regulators, courts and professional advisers bound by confidentiality where disclosure is required by law or necessary to establish, exercise or defend legal claims.

When Google Maps scripts load, Google receives the technical information necessary to deliver those scripts, such as the device’s network request information. Google’s handling of information is governed by its own terms and privacy notices.

5. Device access

The BEAST Application uses the following device access:

Device access	Purpose
Camera and photo library	Capture or select photos for work orders and related records.
Precise location	Run the location-related work-order functions described in section 2.
Files and app storage	Store offline data and process documents or photos selected by the user.
Microphone permission	The BEAST Application does not record or upload audio.

 

You can manage permissions in your device settings. Turning off camera, photo-library, file or location access can prevent the associated feature from working. Declining location access prevents location-based check-in, check-out, completion and GPS diagnostic functions.

6. Retention and deletion

Your organization retains server-side account and work information under its retention schedule and contractual requirements. The app stores account information in local storage and cached and queued work information in its local database.

Signing out removes the selected account from the app’s account list but does not remove all cached work records. Synchronization can remove successfully submitted queue entries but does not remove all cached work information. Removing the app or erasing its app storage removes local data; it does not remove records held by the BRINCO service.

To request access to, correction or deletion of work information, contact your organization’s BRINCO administrator. Diagnostic-report retention is governed by Brinco’s diagnostic-data retention schedule.

7. Security

Access to work information is controlled through authorized user accounts. The BRINCO operational API and document endpoints configured in the app use HTTPS. The BEAST Application sends diagnostic reports and loads Google Maps scripts through HTTP URLs.

8. Your rights and choices

Depending on applicable law, you may have rights to request access to, correction, deletion, restriction of or objection to the processing of your personal information, or to request portability of your information.

To exercise these rights, contact your organization’s BRINCO administrator or privacy contact. You may also complain to a data-protection authority that has jurisdiction over your complaint.

9. Changes to this Policy

Brinco may update this Policy when the service or data practices change. The current version will be published on this page with an updated effective date. Where required by law, notice of a material change will be provided before it takes effect.
